Q. How do I submit my dictations?
A.There are 4 methods available for sending/receiving of files:
- FTP Site: We will be providing you a free secure FTP location to retrieve and send files
- Email
- Toll free phone in dictation: There is an extra cost of 1.5 cents per line.
- VPN: We can connect to your VPN server using email / password provided by you to retrieve
and send files to this location.

Q. How does your trial offer work?
A. We offer a week long free trial. During this period you could use our Toll free phone
in dictation facility with no charge to you. |
Q. What format is
required for the dictation and how is it transferred to you?
A. We can handle all dictation formats. You can transfer
these using any of the methods listed in my answer no: 1. |
Q. Do you have a minimum volume requirement?
A. No, we do not require a minimum volume. |
Q. Would we be required to purchase any computer
programs or hardware for this service?
A. You would have to purchase a digital voice recorder in order to record the dictations.
The recommended recorders are OLYMPUS and SONY. These recorders are accompanied by the
necessary hardware and software plus operating manuals. |
Q. What would be the process to add more
locations/doctors to our process?
A. You would just have to tell us in advance that you would be adding more volume / new
doctors / new locations. The time would depend on the volume of work that would be coming
in. |
Q. Is there a contract to sign, if so would you
please send me via return email for review?
A. We do sign a contract after the trial is successful. We also sign a HIPAA agreement. I
will be sending you the documents when the trial is successful and we are ready to begin. |
Q. How do you ensure HIPAA privacy for multiple
sites?
A. We ensure HIPAA privacy at our sites. We follow all the rules and regulations stated in
the HIPAA policy. |
Q. Can you use my templates / formats?
A. Yes, we will use your templates / formats / instructions.

Q. What constitutes a line of transcription?
A. We count a 65-character line where a character is defined as any letter, number
or symbol necessary for the final appearance and content of a document, including the
space bar. To fully understand this, take a transcribed document and open it in Word 97 or
greater. Go to Tools, select Word Count and note the value shown next to Characters
(with spaces) and divide this by 65. |
